What I would like to do in this space is offer you some simple ways to make using Excel easier. This isn't meant to be a full blown tutorial in Excel. There are thousands of those out there via YouTube and other sites. What I'd like to offer are some simple nuances within Excel functions that you may not be aware of. These are things that I have found over the years that make using Excel a little quicker and more efficient.
Today we're going to cover how to improve the use of the filter tool. The filter tool is very powerful. Most commonly, when users want to filter a list, they use the area in the blue box to check and uncheck the items they want to see filtered.
Let's say, however, that you have a large amount of records and you wanted to see all of the records that contained the name Brian. Doing this manually could be time consuming.
There are two quick ways to accomplish this.
First, you could use the Text Filters option in the filter drop down window and select "Begins With".
In the Custom AutoFilter window that pops up, "begins with" is selected, but there are many other options available as well. Type what you want to search for in the box to the right and click the OK button.
What you get is a list of all the records that start with Brian. When you see row numbers in blue, that means that a list is actively filtered.
The other way to find all the records with Brian is to use the Search box. Just type in "Brian" and you will get the same result as the picture above.
One other filter tool that I want to point out today is the Filter by Color option. If you have shaded records with a color, you can filter on those by selecting Filter by Color in the filter drop down window and select the color you want. The only limitation here is that you can only select one color at a time.
If you select yellow, you will get all of the records that have been shaded yellow.
When you want to go back to the full list with no filters selected, simply click "Clear Filter From "Name".
